Personal Assistant / Events Coordinator

Description Our reputable client, in Port Elizabeth, is currently looking to employ a Personal assistant / Events Coordinator. 

An exciting career opportunity awaits you!

  • Proficiency in the Afrikaans language is non-negotiable.
  • Matric qualification or equivalent is essential. 
  • 7 years experience in a similar position. 
  • Computer literacy is essential.
Responsibilities, but not limited to:
1. Secretarial Type Functions:
  • Receive/screen calls for the Director.
  • Manage the Main email inbox and distribute emails to the relevant staff members.
  • Committee meeting duties such as preparation of agendas and minutes, typing of minutes, issue meeting notices, ensure the attendance by committee members, and maintain mailing lists. 
  • Arrangements for regional meeting and events, preparation of budgets, notices and adverts, booking of meeting venues and catering services, responsible for sending out electronic reminders etc.
  • Preparing of general communication via bulk email, SMS portal, WhatsApp Groups etc. 
  • Prepare and issue articles, newsflashes, notices as required.
2. Screening/handling of enquiries and complaints:
  • Forward certain complaints to relevant staff.
  • Forward Arbitration/ Adjudication requests (Copy) Director.
  • Preparation of Arb/ Adj nomination letters.
3. Accommodation and Travel Bookings:
  • Bookings for flights, accommodation, car rental and arrangements for Director, Committee Representatives and Staff Travel. 
  • Coordinating staff travel. 
  • Record and arrange travel reimbursements for members.
4. Membership Administration:
  • Prepare and maintain annual awards list for Membership Awards.
  • Prepare certificates and framing. 
  • Correspond with awardees.
5. Banking / Payments:
  • Electronic Banking
  • Verification of payments prepared by Bookkeeper
  • Forward to Director/ Releasing authority.
6. Website:
  • Company website articles.
  • Assist with management of website.
  • Review and update information, articles, etc. regularly.
