Description

Our client in the Manufacturing Industry is currently looking to employ an Exports Administrator, based in Elandsfontein, Gauteng.

Requirements:

  • Matric (Grade 12) Certificate.
  • Post-Matric qualification in Logistics or Warehouse Management. A Diploma or bachelor’s degree in related fields (NQF 7) is advantageous.
  • Minimum of 5 years' experience in Shipping and Logistics within a Manufacturing environment, with at least 3 years specifically in Export Administration.
  • Proven administrative accuracy and attention to detail.
  • Demonstrated record of good conduct and a disciplined approach to work.

Responsibilities:

Shipping Operations and Documentation:

  • Coordinate with transporters and shipping service providers to plan and secure required shipping resources.
  • Plan shipments to optimize container utilization and align with customer requirements.
  • Prepare and manage export documentation and ensure compliance with applicable Incoterms and international regulations.
  • Capture and process export-related data daily, and provide reports on customer order statuses.
  • Manage the export invoicing process and ensure accurate documentation is sent with shipments.

Compliance and Risk Control:

  • Operate within prescribed controls to maintain process integrity.
  • Identify departmental risks and escalate concerns to management.
  • Assist with maintaining a risk register and updating SOPs.
  • Ensure compliance with legal, regulatory, and internal frameworks to prevent irregular expenditure.

Customer Service Management:

  • Maintain professional relationships with internal and external customers.
  • Respond to export-related queries (delivery, documentation, packaging, etc.).
  • Represent the company in meetings with external stakeholders when required.

Cost and Financial Oversight:

  • Contribute to budget preparation and cost control measures.
  • Promote efficient use of financial and logistical resources.
  • Monitor overtime and purchases, ensuring alignment with authorization limits.

Essential Skills and Attributes:

  • Strong administrative and organizational skills.
  • Computer literate (MS Office Suite), SAP, ERP systems.
  • Working knowledge of Export and Logistics business processes.
  • Excellent verbal and written communication skills.
  • Analytical, proactive, and customer-focused mindset.
  • Ability to work under pressure and meet tight deadlines.
  • Team-oriented with a disciplined and diligent work ethic.
