Description

Our client in the Manufacturing sector is currently looking to employ an Administrator to join their team based in Isando, Johannesburg.

The successful candidate will report to the National H and S, Security and Risk Manager and provide essential administrative and support to ensure smooth operational flow.

Candidates must have a valid drivers license as general driving / running of errands duties as required; including transfer of persons, collection / delivery of goods,

Requirements:

  • Matric certificate (essential)

  • Minimum 3 years’ experience in a similar role

  • Code 8 driver’s licence

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)

  • Ability to read and write in English

  • Strong organisational and multitasking skills

  • Confident, proactive, and anticipates issues and requirements

  • Team player, honest, helpful, and dedicated

  • Detail-oriented

Responsibilities:

  • Answer and screen calls and emails for the manager as requested

  • Maintain and manage the manager’s appointment diary

  • Compile daily security asset inspection reports and distribute to relevant stakeholders

  • Prepare and distribute daily consumption reports

  • Collect, capture, and analyse monthly reports from branches (HSE, Security, Fleet, Consumption)

  • Obtain monthly invoices from service providers and follow up on outstanding payments

  • Process purchase requisitions and submit for approval, ensuring timely payment

  • Conduct monthly inspections on hygiene, safety, and vehicle conditions, and maintain accurate records

  • Manage fleet vehicle costs and maintenance records

  • Prepare and submit insurance claim reports with supporting documentation and follow up on claims

  • Track installation requests and ensure certificates are received

  • Create user accounts on the tracking system for clients and communicate details to relevant managers

  • Typing of letters/emails and taking minutes during meetings

  • Attend meetings on behalf of the manager when delegated

  • Maintain filing system and ensure records are easily accessible

  • General driving / running of errands duties as requried; including transfer of persons, collection/delivery of goods, and any ad hoc driving tasks

  • Assist with ad hoc administrative tasks as required to ensure operational efficiency
